Board of Trustees Meeting
July 13, 2019

I. Call to Order
The meeting was called to order at 9:08 AM by Association President. (Glady)

II. Trustees Present:
Renee Jobbitt, Diana Larsson, Liz Alimpich, Mike Lackomar, Steve Minnick, Lynn Secord, Glady Stablein, Mary Wade.
Absent/Excused: Mark Hayden   

III. Reading/Approval of June 22, 2019 Minutes (All Trustees read the minutes silently)
Renee moved to approve the Minutes as presented. Diana seconded, all approved - motion carried (201912).

IV. Member Topics
No Members were present.

V. Reading of Treasurer's Report/Financials
    • Treasurer, Mary Wade, gave an oral and written report of recent expenditures.
    • Mary reported a Total Assets of $79,573.61
    • Savings balance of $61,735.02
    • Accounts receivable $17,568.02
    • Mary reported checking Account Balance as $37,027.33
    • For the General Meeting Mary will provide projection of 2019 expenses and what we still have as outstanding payments.
    • She indicated that we may have to cash in another CD to meet our obligations.
The Treasures Report was accepted as presented.

VI. Clubhouse Report
    • Exit Lights not working – Tim Reifert still needs to see what is causing the problem.
    • Clubhouse floodlight – Mark will look at cost for a motion sensor light to illuminate path from clubhouse to road.
    • Wall & Ceiling Repairs -
        ◦ Mark was not available to provide an update on progress.

 VII. Bluff/Parkway Maintenance
    • Committee Report – No recent meeting info to report.
    • Lakeview Posts – Mark replaced 12 damaged/missing posts along Lakeview.
    • Request for Quote – Bob Wiley (St. Clair County) will is going to send us a list of potential contractors to provide quotes for the bluff work bluff repair as specified by G2.
        ◦ Steve will send out the official RFQ when he has the contractor information.
    • Beach Clean-up – Lynn has made progress on recruiting volunteers to be Block Captains.
        ◦ We have volunteers for most streets.
        ◦ Still need volunteers for Rosewood, Tulip, Vine, Yale, Grove, and Emerson.
        ◦ Lynn volunteered to take on Zenith as Street Captain.
        ◦ Renee & Liz will work on getting volunteers for the other streets.

VII. Bluff/Parkway Maintenance (continued)
    • Boat Ramp Keys – Some people still don’t know how to obtain keys.
        ◦ Lynn will put Boat ramp key info on Clubhouse and Pine St. Bulletin boards.
    • Maple Street Drain/Erosion – Waiting for update from Ted Parker and Debby Bonneau.

VIII. Unfinished Business -
    • Bluff Trimming – Billy’s Tree Service – has completed this year’s work.
    • Personal Property Statement – Mary reported the statement has been completed & submitted.
        ◦ We may not have to fill out this form in the future – personal property must amount to $80,000 or more to require reporting.
        ◦ Mary will get a written confirmation of this from Phil.
 
New Business –
    • Election July 27th – Diana will preside over the process.
        ◦ Ballots must have rotating order of candidates – Diana will get the software from Gene.
        ◦ Mary will provide a list of residents eligible to vote to Diana.
        ◦ Mike will list who is running for office on the website.

 Board Discussion Topics –
    • Club House Manager Compensation – Will be on next meeting’s agenda. (7/27)
    • Board Terms & Rotation Changes - Need Motion at General Meeting to make changes.
        ◦ Lynn is working on how the new terms will be implemented.
    • Clean Concrete available on Jupiter St. – Mark will work with the owner to get it moved and dumped over the bluff to add support. This will be covered with fill dirt.
    • Kiddie Parade – Discussion of growing success. Consider buying Popcorn for next year to hand out to the kids. – Lynn volunteered to get the popcorn next year.
    • Need new bottom step at Zenith – Mark is working on getting a replacement railroad tie.
    • Oak Ramp bottom erosion – Mark is already working on a fix.
    • Juniper Bluff Plan – need trees to support bluff.
        ◦ Glady reported that the Lexington Nursery recommended maple trees.
        ◦ The cost is $125-$200 per tree, plus $69.00 to plant, with an optional $25.00 for fertilizer application that comes with a 5 year warranty.
        ◦ Lex-Hi does not have the funds to cover this cost, right now.
    • Need new Clubhouse Grill – the old one needs to be replaced.
        ◦ Steve made a motion to purchase one (not to exceed $300.00) – Seconded by Renee.
All approved – Motion Passed (201913)
    • Meeting with State Representative Hernandez – Glady met with him on July 6 to discuss our situation and the State Law.
        ◦ Randy Woods is handling this issue for Shane Hernandez.
        ◦ He will verify issues with current law and bring forward necessary changes to allow
Lex-Hi and other similar communities to proceed with dues increase/assessment voting. – Stay tuned…
